The Offline application is available only to Standard edition and Extended edition Users with Offline privileges.
To work in an offline environment, you must subscribe to (identify) the data in the Online application (through Account Management or Reporting) that you will need, launch the Offline application, and initiate a refresh, which pulls the subscribed data into the Offline application. From there you can interact offline with those subscribed records on a workstation just as in the Online application, except no Internet connection is needed. Then when you have access to an Internet connection again, you can refresh your online data with the changes that you made offline.
Subscribing to records is how you identify the data in the Online application that you will need in the Offline application. You can subscribe to any records to which you have View access. There is no limit to the number of records to which you can subscribe, and thus no limit to the number of records you can bring into the Offline application.
To subscribe to individual Accounts, Contacts, and/or Deals, navigate to the Account List window, Contact List window, or Deal List window in Account Management. To subscribe to Accounts, Contacts, and/or Deals in bulk, navigate to Reporting where you can generate an appropriate Report output. You can also use Just-in-Time Subscribing (JITSU) by identifying reports that you want to run automatically any time you refresh your Offline application. The records generated by these reports are automatically subscribed. This saves you time from having to manually subscribe to records. Subscribing to Account, Contact, or Deal records will also subscribe you to the following kinds of Appointments, Tasks, Multi-Notes, and Deal Steps:
all future Appointments that are linked to your subscribed records (if the Appointment is part of a recurring series, only the first future incident will automatically be subscribed)
all future Tasks that are linked to your subscribed records
all future-dated Multi-Notes that are linked to your subscribed records
all Deal Steps of your subscribed Deals
To subscribe to past Appointments that are linked to your subscribed records, navigate to the Manage Linked Activities window.
To subscribe to past Tasks that are linked to your subscribed records, navigate to the Manage Linked Activities window.
To subscribe to past Multi-Notes that are linked to your subscribed records, navigate to the Manage Linked Activities window.
To subscribe to ANY Appointments and Tasks based on specified date range and ownership (regardless of whether said Appointments and Tasks are linked to your subscribed records), navigate to the Manage Appointments and Tasks window.
To subscribe to individual Accounts, Contacts, and/or Deals (including Deal Steps), navigate to the corresponding list in Account Management (Account List, Contact List, or Deal List). Subscribing to Account, Contact, or Deal records will automatically also subscribe you to:

To navigate to the corresponding list in Account Management (Account List, Contact List, or Deal List):
In the Online application, click the Accounts tab, Contacts tab, or Deals tab. This launches the corresponding list window (Account List, Contact List, or Deal List).
Click the gray subscription
icon (
) next to the record of your choice. This launches
the Subscribe to Record pop-up. If you
see the color subscription icon (
), it means you are already
subscribed to the corresponding record.
Subscribe to Record pop-up - Allows you to choose to which records you want to subscribe (or unsubscribe). The Subscribe to Record pop-up contains some of the following elements depending on if you are subscribing to an Account, Contact, or Deal:
Subscribe to [Account, Contact, or Deal] check box: Select the check box next to the name of the record to which you want to subscribe / unsubscribe. If the record name appears faded, it means that another User has removed your access to that record sometime after you subscribed to it. Although the record will remain in your subscription list until you manually unsubscribe it, it will not be sent to the Offline application during a refresh.
Subscribe to the associated Account(s): If you are subscribing to a Contact or Deal, you will automatically be subscribed to the Account associated with that Contact or Deal. For Deals, the Account of each Contact associated with that Deal will display. If the Account name's text appears faded, you lack access to said Account. Although technically you will still be subscribed to an Account to which you lack access, neither the Contact, Deal, nor the associated Account will be sent to the Offline application during a refresh. In other words, when subscribing to a Contact or Deal, you must have access to the associated Account, or none of the records will be sent to the Offline application. Unsubscribing a Contact or Deal will not however unsubscribe any associated Accounts.
Subscribe to the associated Contacts check boxes: If you are subscribing to an Account, you will have the opportunity to also subscribe to all associated Contacts of that Account. If you are subscribing to a Deal, you will automatically also subscribe to all Contacts associated with that Deal. If the Contact name appears faded, it means you lack access to said Contact. Although technically you will still be subscribed to a Contact to which you lack access when you subscribe to a Deal to which you do have access, neither the Contact nor the Deal will be sent to the Offline application during a refresh. If you have access to an Account, you will automatically have access to associated Contacts of said Account, and thus Contact names in this case will never appear faded. Unsubscribing an Account will also unsubscribe any associated Contacts automatically. Unsubscribing a Deal will not unsubscribe any associated Contacts.
Subscribe to the associated Deals check boxes: If you are subscribing to an Account or Contact, you will have the opportunity to also subscribe to all Deals, both Open and Finished, that are associated with that Contact, or, if subscribing to an Account, the Deals associated with any Contacts associated with that Account. Unsubscribing an Account or Contact will also unsubscribe any associated Deals automatically.
Owner: The owner of the record to which you are subscribing.
After selecting all the records to which you want to subscribe or unsubscribe, click [Save]. This updates the list of records to which you are subscribed. Click for the Help section on doing a Full Refresh, which pulls the records to which you are subscribed into the Offline application.
To subscribe to Accounts, Contacts, and/or Deals in bulk, navigate to Reporting where you will generate an appropriate Report output. Subscribing to Account, Contact, or Deal records will automatically also subscribe you to:
all future Appointments that are linked to your subscribed records (if the Appointment is part of a recurring series, only the first future incident will automatically be subscribed)
all future Tasks that are linked to your subscribed records
all future-dated Multi-Notes that are linked to your subscribed records
all Deal Steps of your subscribed Deals
To generate an appropriate Report output:
In the Online application, run a Report definition that you built to generate a Report output with the records to which you want to subscribe.
In the Report output, click [Subscribe], even if you receive a message indicating that your Report output exceeds the maximum displayable limit of 2,500 records. This launches the Subscribe to a Set of Records window.
Subscribe to a Set of Records window - Allows you to subscribe to multiple Accounts, Contacts, and Deals simultaneously. The Subscribe to a Set of Records window contains some of the following elements depending on the kind of report used to initiate the subscription process:
Select Records listbox: Select the Accounts, Contacts, or Deals to which you want to subscribe. To select multiple records, press Ctrl while making selections, or click the Select All radio button.
Associated records radio buttons: Select if you also want to subscribe to records associated with those you've selected in the Select Records listbox (or in the Manage Just-In-Time Subscribing (JITSU) window). The kind of report selected will determine which of the following radio buttons will appear:
"No additional records" radio button: Select if you don't want to subscribe to any associated Contacts or Deals. (This radio button only appears for Account and Contact Reports.)
"All Contacts of these selected Accounts but not any Deals" radio button: Select to also subscribe to all associated Contacts for the Accounts you selected but not any Deals associated with said Contacts. (This radio button only appears for Account Reports.)
"All Contacts of these selected Accounts and Deals that have any of the Contacts as its Primary Contact" radio button: Select if, in addition to the selected Accounts, you want to also subscribe to all associated Contacts and all Deals where the Primary Contact for the Deal is associated with one of the selected Accounts. (This radio button only appears for Account Reports.)
"All Contacts of these selected Accounts and all Deals that any of the Contacts are involved with" radio button: Select if, in addition to the selected Accounts, you also want to subscribe to all associated Contacts, and all Deals of those Contacts regardless of whether the Contact is the Primary Contact for the Deal or not. (This radio button only appears for Account Reports.)
"Deals that have any of these selected Contacts as the Primary Contact" radio button: Select if, in addition to the selected Contacts, you want to also subscribe to associated Deals, but only for Deals where a selected Contact is the Primary Contact for the Deal. (This radio button only appears for Contact Reports.)
"All Deals that any of these selected Contacts are involved with" radio button: Select if, in addition to the selected Contacts, you want to also subscribe to all associated Deals regardless of whether the selected Contact is the Primary Contact for the Deal or not. (This radio button only appears for Contact Reports.)
"All Related Contacts and Accounts of these selected Deals will automatically be subscribed (Read-Only)": This is not a radio button but rather a message explaining that if you run a Deal Report to generate a pool of Deals for subscribing, all associated Contacts and the Accounts for all associated Contacts will also be subscribed automatically. (This radio button only appears for Deal Reports.)
Do you JITSU? Just-in-Time Subscribing (JITSU) is the flexible art of triggering (at every refresh) automatic subscriptions to records generated by predetermined Report definitions. Specifically, JITSU allows you to identify Account, Contact, and/or Deal Reports (Activity Reports and Report Snapshots are unavailable for JITSU) you want to be run automatically any time you conduct a refresh (by clicking [Full Refresh] or by clicking [Discard Changes & Refresh]). This allows you to automate the subscription process to records and saves you the time of having to manually subscribe to individual records. You can also set the application to always automatically unsubscribe all previously subscribed records before running JITSU reports. Selecting JITSU reports can save you time. For example, maybe your organization is using an External Data Capture Form that is assigning you new Deals every week. If you wanted to subscribe to these new Deals, you could either take the time to search for them every week and then subscribe to them, or you could completely automate this by setting up a JITSU Report definition that finds them and subscribes to them for you automatically at each refresh. Note that if you lack Subtotal Reporting privileges, you cannot use Just-in-Time Subscribing (although existing JITSU subscriptions will still trigger upon a Full Refresh in Offline).
To manage your JITSU settings, navigate to the Manage Just-in-Time Subscribing (JITSU) window:
In the Online application, click the Setup icon on the navigation bar. This launches the Setup menu.
Click the Offline Subscriptions hyperlink. This launches the Offline Subscriptions window.
Click the "Manage Just-In-Time Subscribing" hyperlink in the first Field Box. This launches the Manage Just-in-Time Subscribing (JITSU) window.
Manage Just-in-Time Subscribing (JITSU) window - Select which reports you want the application to run automatically any time you conduct a refresh (by clicking [Full Refresh] or by clicking [Discard Changes & Refresh]). Any Report definition you select that returns more than 10,000 records will not run upon a refresh. Only select Report definitions that return less than 10,000 records. The Manage Just-in-Time Subscribing (JITSU) window contains the following elements:
Unsubscribe check box: Only appears if you have already chosen one or more Report definitions for Just-in-Time Subscribing. Selecting this check box will unsubscribe all records in the Online application before running any JITSU reports. In other words, to clean the slate first before running JITSU reports, select this check box. When you click the [Full Refresh] or [Discard Changes & Refresh] in the Offline application, the application sends changes you've made in the Offline application (Full Refresh only) to the Online application, unsubscribes all records in the Online application, runs the selected JITSU reports, subscribes to all the records retrieved by said Report outputs, and then pulls those subscribed records into the Offline application. Do not select this check box if, in addition to records subscribed automatically through your JITSU reports, you also want any records to which you have already subscribed, to remain subscribed (this includes records subscribed from previous runs of JITSU reports).
[Add Account Report] button: Launches the "Choose a Report to Subscribe From" window.
"Choose a Report to Subscribe From" window: Displays a fully expanded tree for the section of reporting that corresponds to the button you clicked. In other words, if you click [Add Account Report], the "Choose a Report to Subscribe From" window displays a fully expanded tree of the Account Report definitions in Reporting to which you have access. You can select any Prebuilt Report, My Report, or Shared Report displayed in this window. Clicking a Report definition will add that report to your list of JITSU reports in the Manage Just-in-Time Subscribing (JITSU) window. After selecting a Report definition, select the criteria for under what circumstances additional records (associated with the records in the Report output) would also be subscribed. Upon returning to the "Choose a Report to Subscribe From" window to select another report, the Report definitions you have already selected will no longer appear. If you have selected all available Report definitions, this window will display "You are currently subscribed to all your Account [Contact, Deal] Reports."
Note If you are an Extended edition User and you lack Field Access to a field that is part of a Report definition, that Report definition will not appear here and will not be available for JITSU even if you own said Report definition. If you select a Report definition for JITSU, and an Application Administrator subsequently removes your Field Access to a field in said report, the Report definition will remain in your JITSU list, but when you conduct a refresh, that report will not run and will display in the Warnings tab of the Update Results window.
[Add Contact Report] button: Launches the "Choose a Report to Subscribe From" window.
[Add Deal Report] button: Launches the "Choose a Report to Subscribe From" window.
Remove hyperlink: Launches a pop-up prompting you to confirm the removal of the report from your Just-in-Time Subscribing.
Report name and criteria: Each report you select for JITSU will be listed in the Manage Just-in-Time Subscribing (JITSU) window. You may also select the criteria for which additional records (associated with the records in the Report output) will also be subscribed from the corresponding associated records radio buttons.
Subscribing to Account, Contact, or Deal records will automatically also subscribe to:
all future Appointments that are linked to your subscribed records (if the Appointment is part of a recurring series, only the first future incident will automatically be subscribed)
all future Tasks that are linked to your subscribed records

To subscribe to past Appointments that are linked to your subscribed records, navigate to the Manage Linked Activities window.

To subscribe to past Multi-Notes that are linked to your subscribed records, navigate to the Manage Linked Activities window.

To navigate to the Manage Linked Activities window:
In the Online application, click the Setup icon on the navigation bar. This launches the Setup menu.
Click the Offline Subscriptions hyperlink. This launches the Offline Subscriptions window.
In the Offline Subscriptions window, click the edit hyperlink in the first Field Box next to the sentence describing how past occurrences of Appointments, Tasks, and Multi-Notes are treated. This launches the Manage Linked Activities window.

Manage Linked Activities window - Allows you to subscribe to past Activities (Appointments, Tasks, and Multi-Notes) that are linked to your subscribed Accounts, Contacts, and Deals. Linked future Activities are automatically subscribed. (If a linked future Activity is an Appointment in a recurring series, only the first future Appointment will automatically be subscribed.) Select the desired time frame from the drop-down menu. The selections are by months in increments of 1 to 12, plus "None" and "All". Make a selection and click [Save].
Past/Future Appointments defined: Appointments are considered in the past when the day of the Appointment has passed. Appointments are considered in the future when the day of the Appointment has not yet passed. In other words, all Appointments taking place on the current day are considered in the future until that day is completely over.
Past/Future Tasks defined: Open Tasks (Tasks in the To Do Task List) are considered past when the day of the due date has passed. Completed Tasks (Tasks in the Completed Task List) are considered past when both the due date and the completed date have passed. Open Tasks are considered in the future until the due date of the Task has passed. Completed Tasks are considered in the future if either the due date or the completed date is still in the future.
Past/Future Multi-Notes defined: Multi-Notes are considered past when the time entered for the Multi-Note (in the Add Multi-Note window or Edit Multi-Note window) has passed. Multi-Notes are considered in the future when the time entered for the Multi-Note has not yet passed.
To navigate to the Manage Appointments and Tasks window:
In the Online application, click the Setup icon on the navigation bar. This launches the Setup menu.
Click the Offline Subscriptions hyperlink. This launches the Offline Subscriptions window.
In the Offline Subscriptions window, click the edit hyperlink in the second Field Box. This launches the Manage Appointments and Tasks window.

Manage Appointments and Tasks window - Allows you to identify Appointments and Tasks to which you want to subscribe based on a date range and ownership, regardless of whether said Appointments and Tasks are linked to your subscribed records or not. The Manage Appointments and Tasks window contains the following elements:
Date Range text boxes: Enter the date range that covers the time frame for the Appointments and Tasks to which you want to subscribe. You cannot enter a number greater than 365 into either text box.
"How many Appts/Tasks?" hyperlink: Launches the "Subscription Count for Appointments and Tasks" pop-up, which displays the number of Appointments and Tasks you would be subscribed to based on your selections in the Manage Appointments and Tasks window.
Select
Positions, Teams, and/or Users listboxes: Select whose Appointments
and Tasks you want to subscribe. You can make multiple
nonconsecutive selections by pressing Ctrl
+ your selections. You
can make multiple consecutive
selections by pressing Shift +
your selections or Shift +
. Even though you can select any Position, Team, or User,
when it is time to actually subscribe to the records, you can only subscribe
to the Appointments and Tasks for those Users to whose Appointments and
Tasks you have access.
Select Position listbox: Displays your organization's entire Company Position Chart (CPC).
Select Team listbox: Displays all of your organization's Teams.
Select User listbox: Displays all of your organization's Users.
[Resolve to Users] button: Only displayed when a Position, Team, or User (PTU) has been selected. Clicking [Resolve to Users] launches the Resolve to Users window, which displays all Users affected by the PTU you chose in the Manage Appointments and Tasks window. This does not necessarily mean you can subscribe to the Appointments and Tasks of said Users -- the application only subscribes you to the records to which you have access. The Resolve to Users list simply displays the Users in the PTU you selected. The list of Users can change automatically in the future even if you don't change your PTU selections, because Users can be added to or removed from selected Positions and / or Teams by other Users in the Online application.
After selecting the date range and the PTU to whose Appointments and Tasks you want to subscribe, click [Save]. This adds the selected records to the list of records to which you subscribe, and redisplays the Offline Subscriptions window.
What happens if an Appointment or Task falls within the date range I set in the Manage Appointments and Tasks window, but is linked to a subscribed record and does not fall within the range set for linked past Appointments and Tasks in the Manage Linked Activities window? That Appointment or Task will still be subscribed to because it falls within at least one of the two date ranges. The opposite scenario produces the same results. In other words, if there is an Appointment or Task linked to a subscribed record falling within the date range you set in the Manage Linked Activities window, but does not fall within the date range set in the Manage Appointments and Tasks window, that Appointment or Task would still be subscribed to because it falls within at least one of the date ranges.
To access the Offline Subscriptions window:
In the Online application, click the Setup icon on the navigation bar. This launches the Setup menu.
Click the Offline Subscriptions hyperlink. This launches the Offline Subscriptions window.
Offline Subscriptions window - Allows you to view all Accounts, Contacts, and Deals to which you are currently subscribed. These are the records that will be pulled into the Offline application when you next do a Full Refresh (by clicking [Full Refresh]) or when you next click [Discard Changes & Refresh]. The Offline Subscriptions window also displays the criteria you established to determine which associated Appointments, Tasks, and Multi-Notes are pulled into the Offline application. From this window you can unsubscribe to records and choose a date range for subscribing to associated Appointments, Tasks, and Multi-Notes, but you cannot subscribe to new records from this window. To do that, you must navigate to the Account List, Contact List, or Deal List in Account Management, or generate an appropriate Report output. The Offline Subscriptions window contains the following elements:
Unsubscribe to All Accounts/Contacts/Deals hyperlink: Click this hyperlink to unsubscribe all your Accounts, Contacts, and Deals, thus making none of them available to be pulled into the Offline application.
Accounts: Displays the number of Accounts to which you are currently subscribed. Click the corresponding edit hyperlink to launch the Manage Account Subscriptions window where you can view a list of the individual Accounts to which you are subscribed, and if desired, you can unsubscribe to some or all of those Accounts.
Contacts: Displays the number of Contacts to which you are currently subscribed. Click the corresponding edit hyperlink to launch the Manage Contact Subscriptions window where you can view a list of the individual Contacts to which you are subscribed, and if desired, you can unsubscribe to some or all of those Contacts.
Deals: Displays the number of Deals to which you are currently subscribed. Click the corresponding edit hyperlink to launch the Manage Deal Subscriptions window where you can view a list of the individual Deals to which you are subscribed, and if desired, you can unsubscribe to some or all of those Deals.
Linked past Appointments, Tasks, and Multi-Notes: The first Field Box will display whether you are subscribed to any past Activities (Appointments, Tasks, and Multi-Notes) linked to the selected Accounts, Contacts, and Deals. To choose a new date range, click the corresponding edit hyperlink to launch the Manage Linked Activities window. Future Appointments, Tasks, and Multi-Notes linked to your subscribed records are automatically subscribed. If an Appointment is part of a recurring series, only the first future Appointment will automatically be subscribed. You can subscribe to the rest of the Appointments in a series by establishing a time range in the Manage Appointments and Tasks window (accessible by clicking the edit hyperlink in the second Field Box) that would include the future occurrences.
Just-in-Time Subscribing (JITSU): Indicates which reports run automatically when you click [Full Refresh] or when you click [Discard Changes & Refresh]. JITSU settings also indicate if you have chosen to unsubscribe all previously subscribed records before JITSU reports run during refresh. This is a way of cleaning the slate before running your JITSU reports. To modify your settings, click the Manage Just-In-Time Subscribing hyperlink to launch the Manage Just-in-Time Subscribing (JITSU) window. If you have decided not to setup any Just-in-Time Subscribing, this section will indicate that you have no JITSU reports. If you have selected a Shared Report and the owner of said Report definition chooses to no longer share the Report definition with you, that report will remain in your JITSU list, but it will not run when you refresh the Offline application. Also, if you are an Extended edition User and an Administrator removes your Field Access to a field in a Report definition which you have chosen for JITSU, said Report definition will remain in your JITSU list, but it will not run when you refresh the Offline application. Any Report definition that you select that returns more than 10,000 records will not run upon a refresh. Only select Report definitions that return less than 10,000 records.

Appointments and Tasks: The second Field Box will display the time frame that corresponds to the Appointments and Tasks to which you are currently subscribed. The edit hyperlink launches the Manage Appointments and Tasks window, which allows you to identify the Appointments and Tasks to which you want to subscribe based on a date range and ownership, regardless of whether said Appointments and Tasks are linked to your subscribed records or not.

Manage Account Subscriptions window - Allows you to view a list of the Accounts to which you are subscribed, and if desired, to unsubscribe some or all of those Accounts.

Account Name: The default ordering for Accounts is alphabetically by Account Name.
Owner: The User who created the Account or was reassigned ownership of the Account.
# Of Contacts Subscribed: Displays the number of associated Contacts of the corresponding Account to which you have also subscribed.
# Of Deals Subscribed: Displays the number of Deals associated with Contacts that are associated with the corresponding Account to which you have also subscribed.
Hyperlinked column headings: The Account Name and Owner columns are hyperlinked for Ascending (A-Z) and Descending (Z-A) sorting. Clicking the column heading hyperlink activates the column, changes the heading's background color to blue, and displays the sorting directional button. Each time you click an active column heading, the sorting direction reverses.
Alphabet navigation feature: Begin by clicking the Account Name or Owner column. Clicking a letter in the alphabet bar causes the active column's data (the column with the blue background behind the heading) to begin with the letter selected and continue through the rest of the alphabet. All Accounts with data in the selected column that begins with a letter before the letter you selected on the alphabet navigation bar will disappear. If there are no Accounts with data starting with the letter you have chosen for the selected column, then all Accounts with data in the selected column beginning with letters immediately following the letter you have chosen will appear. If you choose the letter W and none of your subscribed Accounts contain data in the selected column starting with letters higher than V, the Manage Account Subscriptions window instead displays all subscribed Accounts.
Multi-Letter Search Box: Located in the upper right-hand corner of the Manage Account Subscriptions window.

Highlight the column you want to search, type one or more letters, and click [Go!]. The search results are similar to those for the alphabet navigation bar, i.e., the data in the active column begins with the letter(s) you typed, and continues alphabetically, reordering the Accounts accordingly. If there are no subscribed Accounts with data in the selected column starting with the letter or letters you have chosen, all Accounts with data in the selected column beginning with letter strings immediately following the letter or letters you have chosen will appear. If you input the letter string "Wes" and none of your subscribed Accounts contain data in the selected column starting with letter strings higher than "Wer", the Manage Account Subscriptions window instead displays all subscribed Accounts.
Multi-Letter search example: If the Account Name is "The Comedy Connection", the application considers that name as starting with the letter "T", so you could enter "The Comedy", which displays the Accounts beginning with T, and not "Comedy", which displays the Accounts that begin with C.

Unsubscribing Accounts, Contacts, and/or Deals removes the unsubscribed records from your subscription list and said records will no longer be pulled into the Offline application during a Full Refresh (by clicking [Full Refresh]) or any time you click [Discard Changes & Refresh]. Unsubscribing Accounts, Contacts, and/or Deals will automatically also unsubscribe all past and future Multi-Notes linked to said Accounts, Contacts, or Deals and any linked Appointments and Tasks provided said Appointments and Tasks are not also subscribed due to the date range set in the Manage Appointments and Tasks window. There are several different ways to unsubscribe an Account, Contact, and/or Deal:
Unsubscribing individual Accounts, Contacts, or Deals in Account Management:
In the Online application, click the Accounts tab, Contacts tab, or Deals tab. This launches the corresponding list window (Account List, Contact List, or Deal List).
Click the subscription
icon (
) next to the record of your choice. This launches
the Subscribe to Record pop-up, where you
can unsubscribe the record and any associated records if applicable.
Unsubscribing individual Accounts, Contacts, or Deals in the Offline Subscriptions window:
In the Online application, click the Setup icon on the navigation bar. This launches the Setup menu.
Click the Offline Subscriptions hyperlink. This launches the Offline Subscriptions window.
Click the edit hyperlink next to Accounts, Contacts, or Deals, depending on which kind of record you want to unsubscribe. This launches the corresponding Manage Subscriptions window (Manage Account Subscriptions window, Manage Contact Subscriptions window, or Manage Deal Subscriptions window).
In the Manage Subscriptions
window, click the subscription icon (
) next to the record
to which you want to unsubscribe. This launches the Subscribe
to Record pop-up, where you can unsubscribe the record and any associated
records if applicable.
Unsubscribing multiple Accounts, Contacts, or Deals in a Report output:
In the Online application, run the Report definition containing the records to which you want to unsubscribe. This will generate the Report output.
In the Report output, click [Unsubscribe]. This launches the Unsubscribe a Set of Records window.
Unsubscribing multiple Accounts, Contacts, or Deals in the Offline Subscriptions window:
In the Online application, click the Setup icon on the navigation bar. This launches the Setup menu.
Click the Offline Subscriptions hyperlink. This launches the Offline Subscriptions window.
To unsubscribe multiple Accounts, Contacts, and Deals at once, click the edit hyperlink next to the kind of records you want to unsubscribe (i.e., to unsubscribe multiple Accounts, click the edit hyperlink next to the number of Accounts to which you are subscribed). This launches the Manage Account [or Contact or Deal] Subscriptions window.
Click the "Unsubscribe a set of Accounts" [or Contacts or Deals] hyperlink. This launches the Unsubscribe a Set of Records window.
Unsubscribing all Accounts, Contacts, and/or Deals in the Offline Subscriptions window:
In the Online application, click the Setup icon on the navigation bar. This launches the Setup menu.
Click the Offline Subscriptions hyperlink. This launches the Offline Subscriptions window.
To unsubscribe all Accounts, Contacts, and Deals at once, click the Unsubscribe to All Accounts/Contacts/Deals hyperlink. To unsubscribe just all Accounts, or just all Contacts, or just all Deals, click the edit hyperlink next to the kind of records you want to unsubscribe (i.e., to unsubscribe all the Accounts, click the edit hyperlink next to the number of Accounts to which you are subscribed). This launches the Manage Account [or Contact or Deal] Subscriptions window.
Click the Unsubscribe to All Accounts [or Contacts or Deals] hyperlink. This launches a pop-up indicating that the Unsubscribe to All Accounts/Contacts/Deals action cannot be undone.
Unsubscribing all Accounts, Contacts, and Deals through Just-in-Time Subscribing (JITSU):
If you are using Just-in-Time Subscribing (JITSU), you have the option of cleaning the slate just before JITSU Report definitions are run with each Full Refresh (by clicking [Full Refresh]) or just before JITSU Report definitions are run each time you click [Discard Changes & Refresh]. To do this, select the "Unsubscribe all" check box in the Manage Just-in-Time Subscribing (JITSU) window. Selecting this check box will unsubscribe all records before running any JITSU reports that generate a new set of subscribed records. In other words, to clean the slate first of all subscribed records before running your JITSU reports, select this check box.
Unsubscribe a Set of Records window - Accessible from both a Report output and the Manage Account [or Contact or Deal] Subscription window, the Unsubscribe a Set of Records window allows you to unsubscribe multiple Accounts, Contacts, or Deals simultaneously. Note that when you run a report to generate this list, you may not be subscribed to some or all of the records listed because you may not have selected them for subscription the first time you ran the report. Selecting a record for unsubscribing when you are not subscribed to that record has no effect, good or bad. The Unsubscribe a Set of Records window contains the following elements:
Select Records listbox: Select the Accounts, Contacts, or Deals that you want to unsubscribe from the Offline application. To select multiple records, press Ctrl while making selections, or click the Select All radio button.
Associated records radio buttons: If you are unsubscribing Accounts, all associated Contacts and Deals associated with said Contacts will also be automatically unsubscribed. If you are unsubscribing Contacts, all associated Deals will also be automatically unsubscribed. If you are unsubscribing Deals, no other associated records will also be automatically unsubscribed. The following radio buttons are available based on the kind of records you are unsubscribing:
"Nothing" radio button: Select if you don't want to unsubscribe any associated records. In other words, if you are unsubscribing Contacts, selecting this radio button will not unsubscribe the associated Accounts of the selected Contacts. If you are unsubscribing Deals, selecting this radio button will not unsubscribe any associated Contacts or Accounts. (Only appears when unsubscribing Contacts and Deals.)
"Accounts of the selected Contacts" radio button: Select if you also want to automatically unsubscribe any associated Accounts for the Contacts that you selected. (Only appears when unsubscribing Contacts.)
"Primary Contacts of these selected Deals but not their associated Accounts" radio button: Select if you also want to unsubscribe the Primary Contacts (as selected in the Edit Deal pop-up) of the selected Deals but not the associated Accounts of said Primary Contacts. (This radio button only appears when unsubscribing Deals.)
"All Contacts of these selected Deals but not their associated Accounts" radio button: Select if you also want to unsubscribe all associated Contacts of the selected Deals but not the associated Accounts of said Contacts. (This radio button only appears when unsubscribing Deals.)
"Primary Contacts of these selected Deals and their associated Accounts" radio button: Select if you also want to unsubscribe the Primary Contacts of the selected Deals and the associated Accounts of said Primary Contacts. (This radio button only appears when unsubscribing Deals.)
"All Contacts of these selected Deals and their associated Accounts" radio button: Select if you also want to unsubscribe all associated Contacts of the selected Deals and the associated Accounts for said Contacts. (This radio button only appears when unsubscribing Deals.)
After selecting the records to which you want to unsubscribe, click [Unsubscribe]. This removes these records from the list of records to which you are subscribed.
Unsubscribing Multi-Notes: To unsubscribe future-dated Multi-Notes linked to the Accounts, Contacts, and/or Deals to which you are currently subscribed, you must unsubscribe to said Accounts, Contacts, and/or Deals to which they are linked. To unsubscribe past Multi-Notes linked to the Accounts, Contacts, and Deals to which you are currently subscribed, navigate to the Manage Linked Activities window and select "None" from the drop-down menu, or you could unsubscribe to the Accounts, Contact, and/or Deals to which they are linked.
Unsubscribing linked Appointments and Tasks: To unsubscribe from future Appointments and Tasks linked to the Accounts, Contacts, and/or Deals to which you are currently subscribed, you must unsubscribe to said Accounts, Contacts, and/or Deals to which they are linked, and also make sure the Appointments and Tasks do not fall within the date range you set for Appointments and Tasks in the Manage Appointments and Tasks window. To unsubscribe past Appointments and Tasks linked to the Accounts, Contacts, and Deals to which you are currently subscribed, navigate to the Manage Linked Activities window and select "None" from the drop-down menu, and also make sure the Appointments and Tasks do not fall within the date range you set for Appointments and Tasks in the Manage Appointments and Tasks window.
Unsubscribing any Appointments and Tasks: To unsubscribe Appointments and Tasks based on a date range and ownership, regardless of whether said Appointments and Tasks are linked to your subscribed records, navigate to the Manage Appointments and Tasks window. Enter a date range in the Date Range text boxes that excludes the Appointments and Tasks. If however, the Appointments and Tasks are also linked to records to which you are subscribed, you also have to unsubscribe said records. There is no way to unsubscribe a future Appointment or Task that is linked to a subscribed Account, Contact, or Deal without also unsubscribing the Account, Contact, or Deal to which the Appointment or Task is linked.
If you are logging in to the Offline application for the first time, make sure you are first connected to the Internet. This is the only time logging in to the Offline application will create a connection with the Online application automatically. All authentication to the Online application is done under Secure Sockets Layer (SSL) encryption.
Double-click the Offline icon on your desktop/laptop. This launches the Login window.
Enter the same Company Login, User Login, and User Password you use to log in to the Online application.
If you are using a proxy server, click the "Enter Proxy Information" hyperlink and enter your proxy server information.
After logging in and/or entering your proxy server information, the application will connect to the Online application and retrieve your list of subscribed records from the Online application and then launch the Offline Welcome Page.

If you are NOT logging in to the Offline application for the first time, double-click the Offline icon on your desktop/laptop. This launches the Login window.
Enter the same Company Login, User Login, and User Password you use to log in to the Online application. This launches the Offline Welcome Page, where you can begin working in the Offline application.
I can't log in to the Offline application -- what do I do? - If you try to log in to the Offline application but receive the following error message, "Invalid Login. Try again.", try the following steps:
1.) Enter your log in information again. Just in case you mistyped your User Password. Unlike the Online application, there is no limit to the number of log in attempts to the Offline application. That said, you can still lock down your Online log in by attempting to connect the Offline application with the Online application (for a refresh) with the incorrect log in information. Exceeding the log in attempts allowed by the Login Attempt Limit causes a lockdown. When this happens, you can still log in to the Offline application, but you cannot connect with the Online application a.) until an Application Administrator reactivates your log in, or b.) if you are the sole Application Administrator, until you contact technical support and receive a new User Password.
2.) Enter the log in information you last used to log in to the Offline application (as opposed to the log in information you use to log in to the Online application). Employ this option when you change your User Password in the Online application but you have not yet changed said password in the Offline application. In this case, log in to the Offline application with the Company Login, User Login, and User Password you last used to log in to the Offline application, as opposed to the new logins you now use in the Online application. Once logged in to the Offline application, enter your new log in information into the Login pop-up, which launches when you click [Full Refresh], [Send Changes], or [Discard Changes & Refresh] (in the Stats and Refresh window). If you click [Full Refresh], for example, enter your new log in information into the Login pop-up, but then cancel the Full Refresh, this will not change the User Password you need to successfully log in to the Offline application.
3.) Click the "I forgot my Offline User Password" hyperlink. This launches a confirmation pop-up. If you click [Yes] to continue, the Login window will relaunch. Enter your Online application Company Login, User Login, and User Password. If you are behind a corporate firewall that will not allow the Offline application to connect with the Online application, you must click the "Enter Proxy Information" hyperlink and enter your proxy settings. If you have any questions as to whether you must enter proxy settings, contact your organization's network administrator. If your network administrator is unavailable, we recommend that you first try leaving these fields blank because certain types of corporate firewalls will still allow the Offline application to connect with the Online application without selecting the Use Proxy setting check box. Try connecting without selecting this check box first. After entering your Online application log in information (and proxy settings if applicable), click [Go!]. The Offline application will connect with the Online application and verify that the log in information is indeed your Online application log in information. If it is, the Offline application launches and will reset your Offline application log in information. Obviously you cannot follow these steps if you are not connected to the Internet.
Note that the Restricted IP (RIP) security setting that can be established in Security Preferences by Extended edition Administrators is designed for the Online application and will not block a User's ability to launch the Offline application or refresh their data, even from a restricted IP address.
Offline Welcome Page - The Offline Welcome Page is the first page you see when logging in to the Offline application. It displays a summary of important items such as Deal Steps due, upcoming Appointments, and Tasks due. The Offline Welcome Page contains the following elements:
Deals: Displays the number of overdue Deal Steps, the number of Deal Steps you have due today, and the number of Deal Steps you have due in the future, based on the Deals that are currently in the Offline application. The word "Deals" is hyperlinked to launch the Deal List. The sentence displaying how many of each status of Deal Step you have due is hyperlinked. If there is only one Deal for a particular status (e.g., overdue), clicking the sentence launches the Deal Detail tab for that Deal. If there are multiple Deals for a particular status, clicking the sentence launches a pop-up displaying a table of the Deals. From this pop-up you can click the name of the Deal to launch the Deal Detail tab for that Deal or the name of the Deal Step to launch the Deal Step tab for that Deal. For example, if you have one overdue Deal Step, clicking the sentence "1 of your Deals currently has a Deal Step overdue" next to the red circle launches the Deal Step tab for that Deal.
Appointments: Displays the name and time for any of your subscribed Appointments happening in the next seven days (i.e., today plus the next six days). The Welcome Page only lists your own Appointments, not all the Appointments to which you have access. If you only have View access to Appointments, clicking the time or the Appointment name launches the View Appointment window. If you have Edit access to Appointments, clicking the time or the date launches the Edit Appointment window. You can add a new Appointment by clicking the Add hyperlink next to the word "Appointments". This launches the Add Appointment window. The Add hyperlink will not appear if you have Read-Only access to Appointments and Tasks.
Tasks: Displays the name and due date of all your subscribed open Tasks (i.e., Tasks that are on your To Do Task List.) This section will only list your own Tasks, not all the Tasks to which you have access. If you have View access to Tasks, clicking the name or due date of a Task launches the View Task window. If you have Edit access to Tasks, clicking the name or due date of a Task launches the Edit Task window. You can add a new Task by clicking the Add hyperlink next to the word "Tasks". This launches the Add Task window. The Add hyperlink will not appear if you have Read-Only access to Appointments and Tasks.
In the Offline application, click the Setup icon on the navigation bar. This launches the Setup menu.
Click the Proxy Settings hyperlink. This launches the Proxy Settings window.
Proxy Settings window - If you are behind a corporate firewall that will not allow the Offline application to connect with the Online application, you must enter your proxy settings in this window. If you have any questions as to whether you must enter proxy settings, contact your organization's network administrator. If your network administrator is unavailable, we recommend that you first try leaving these fields blank because certain types of corporate firewalls will still allow the Offline application to connect with the Online application without selecting the Use Proxy setting check box. Try connecting without selecting this check box first.
Use Proxy Settings check box: Select if you must enter Proxy Settings.
Server: Enter the Proxy server IP address.
Port: Enter the Proxy server port number.
In the Offline application, click the Stats and Refresh hyperlink on the navigation bar. This launches the Stats and Refresh window.
Stats and Refresh window - This window is the hub for data refresh: pulling subscribed records into the Offline application and/or sending changes that you made in the Offline application back to the Online application. The Stats and Refresh window also summarizes how many records you have in the Offline application and how many of those records have been changed and therefore would be sent back to the Online application at your next Full Refresh or Send Changes action. The Stats and Refresh window contains the following elements:
[Full Refresh] button: Initiates a Full Refresh by first sending changes you've made in the Offline application back to the Online application and then automatically finding the records in the Online application to which you've subscribed (including triggering Just-in-Time Subscribing) and pulling those records into the Offline application.
[Send Changes] button: Sends changes you've made to records in the Offline application back to the Online application. Unlike with a Full Refresh, clicking [Send Changes] will not retrieve subscribed records from the Online application, nor will it trigger Just-in-Time Subscribing.
[Discard Changes & Refresh] button: Discards any changes you made in the Offline application and then automatically find the records in the Online application to which you've subscribed (including triggering Just-in-Time Subscribing) and pull those records into the Offline application. If you have no changes in the Offline application, clicking this button will not initiate a refresh. In this case, click [Full Refresh]. (Click for the Help section on Discarding Changes and Refreshing.)
Records Available in Offline field box: This Field Box indicates the number of Accounts, Contacts, Deals, Appointments, Tasks, and Multi-Notes that were pulled into the Offline application during the last refresh.
Refresh History field box: This Field Box indicates the last time you conducted a Full Refresh (by clicking [Full Refresh]) and the last time you sent changes back to the Online application (by clicking [Send Changes]). It will not indicate the last time you clicked [Discard Changes & Refresh].
Changes Waiting to be Sent to Online: This Field Box indicates the number of Accounts, Contacts, Deals, Appointments, Tasks, and Multi-Notes that you have changed (which includes deleting) or added in the Offline application that have not been sent back to the Online application yet.
Clicking [Full Refresh] in the Stats and Refresh window initiates a Full Refresh by first sending changes you've made in the Offline application back to the Online application and then automatically finding the records in the Online application to which you've subscribed and pulling those records into the Offline application. Some changes you make in the Offline application may conflict with changes made in the Online application. While you will receive notice for some of these record conflicts, you will be unable to return to the Offline application and fix said records because all records in the Offline application are overwritten by the subscribed records being pulled into the Offline application during the second part of the Full Refresh, even if they are the same records. To prevent this, click [Send Changes] first to identify the problem records, fix them in the Offline application, and then do a Full Refresh.
To conduct a Full Refresh:
In the Offline application, click the Stats and Refresh hyperlink in the dark blue navigation bar. This launches the Stats and Refresh window.
Click [Full Refresh]. This launches the Login pop-up.
Login pop-up

Login pop-up - Enter the same Company Login, User Login, and User Password that you use to log in to the Online application (even if you used an old User Password to launch the Offline application) and click [Go!]. All authentication to the Online application is done under Secure Sockets Layer (SSL) encryption. Note that the Restricted IP (RIP) security setting that can be established in Security Preferences by Extended edition Application Administrators is designed for the Online application and will not block a User's ability to launch the Offline application or refresh their data, even from a restricted IP address.
If you are just sending changes (i.e., you clicked [Send Changes] to launch the Login pop-up), the Offline application will attempt to send any changes you have made back to the Online application. If at any point there are data conflicts due to edits made to the same record in both the Offline application and the Online application, the Conflict Resolution window will launch. Otherwise, once the Offline application is finished sending changes, the Update Results window will launch.
If you are conducting a Full Refresh (i.e., you clicked [Full Refresh] to launch the Login pop-up), the Offline application will first attempt to send any changes you have made back to the Online application. If at any point there are data conflicts due to edits made to the same record in both the Offline application and the Online application, the Conflict Resolution window will launch. If there are no conflicts, or once conflicts have been resolved, the Offline application will pull in all subscribed records from the Online application. If the application sent any changes, when it is done refreshing, the Update Results window will launch. If the application sent no changes, the Stats and Refresh window reloads.
If you are discarding changes and doing an Offline Refresh (i.e., you clicked [Discard Changes & Refresh] to launch the Login pop-up), the Offline application will discard the changes you made in the Offline application and then pull in all subscribed records from the Online application. After the refresh, the Stats and Refresh window will reappear.
Note You do not have to be logged in to the Online application via a separate browser window in order to send changes, conduct a Full Refresh, or discard changes and refresh. The passwords entered to the Login pop-up will inform the appropriate server how to find your Online application data.
If you click [Go] in the Login pop-up and receive the error message "Login failed. Try again.", one of the following scenarios may have happened:
You entered an old User Password: Even if you used an old User Password to launch the Offline application, enter your new User Password in this window. This should be the same User Password you use to log in to the Online application.
Your Offline privileges have been revoked: If your Offline privileges have been revoked, you cannot connect to the Online application and send changes. Contact your Application Administrator to see why your privileges were revoked.
Your log in is Inactive: If you are locked out of the Online application or if an Application Administrator has made your log in Inactive, you cannot connect to the Offline application or to the Online application. You must ask an Application Administrator to reactive your log in.
Connection error: There may have been a connection error. Try clicking [Go!] again. If you lose your Internet connection, you will not lose any items processed before the connection error. For example, if your connection is lost after sending changes but before retrieving your subscribed data, the changes will still be viewable in the Online application. Also, each change is sent individually. Thus, if you lose your connection during the send changes phase, any changes sent before the lost connection are viewable in the Online application, and any changes not yet sent still reside in the Offline application.
Lockdown: For security purposes, if anyone tries to log in to a User's data (including said User) unsuccessfully multiple times consecutively (based on the Login Attempt Limit established in the Online application), this will immediately lock down that User's log in, removing their access and connection with the Online application, and emailing a Solution Lockdown Alert Message (SLAM) to the Application Administrator who is your organization's Primary Contact. The Primary Contact or another Administrator should reactivate the User by selecting the Active check box in the User Profile - Edit window in the Online application for that User. The Primary Contact can then send the User their password by clicking the "Email log in information to User" check box and clicking [Save]. It is up to Primary Contact to determine the necessity of creating a new password for the User.
Administrators getting locked out of the application: If the User who gets locked out is the Primary Contact and the sole Administrator for the organization, the application will not inactivate the Administrator's account. Instead, the application will generate a new User Password. Unlike with the Online application, the Offline application will not email you your new User Password. You must contact technical support to get your new User Password before next connecting with the Online application or logging in to the Online application with the new User Password. If the Primary Contact is locked out but there are other Administrators, the application will send the SLAM to the Administrator who has been a User the longest (not including the Primary Contact). If the User who gets locked out is one of several Administrators but is not the Primary Contact, the application will send a Solution Lockdown Alert Message to the Primary Contact just as it does when regular Users get locked out.
Rules and Ramifications of Pulling Subscribed Data from the Online application to the Offline application
All Records in the Offline application will be overwritten by the subscribed records being pulled in, regardless if they are the same records or different records. In other words, if you edit record A in the Offline application, but that change is not transferred to that record in the Online application, record A (with the edit) will be overwritten by the unedited version from the Online application, and thus the edit is lost. If this is a concern for you, click [Send Changes] first, and then click [Full Refresh], because clicking [Send Changes] only sends changes you made in the Offline application to the Online application, it does not overwrite the records you have in the Offline application.
Starting from scratch: To start from scratch in the Offline application, you can subscribe to zero records in the Online application and then click [Discard Changes & Refresh] in the Offline application. This will discard any changes you made in the Offline application and overwrite your offline database with zero records, thus in effect wiping the slate clean.
If you are using Just-in-Time Subscribing (JITSU), the application will automatically run the reports you selected and subscribe to the records (and any selected associated records) in that report. Just-in-Time Subscribing allows you to specify Report definitions that will run automatically during a Full Refresh so you don't have to spend lots of time in the Online application manually subscribing to potentially hundreds of records. Also, when using JITSU, you have the option of unsubscribing all records in the Online application before running your JITSU reports. If you choose this option in the Manage Just-in-Time Subscribing (JITSU) window, running a Full Refresh will send any changes you made in the Offline application back to the Online application, unsubscribe all records in the Online application, run the selected JITSU reports, subscribe to all the records retrieved by said reports, and then pull those records into the Offline application. If you have selected a Shared Report for JITSU and the owner of said Report definition chooses to no longer share the Report definition with you, that report will remain in your JITSU list, but it will not run when you refresh the Offline application. Also, if you are an Extended edition User and an Administrator removes your Field Access to a field in a Report definition which you have chosen for JITSU, said Report definition will remain in your JITSU list, but it will not run when you refresh the Offline application. Any Report definition that you select that returns more than 10,000 records will not run upon a refresh. Only select Report definitions that return less than 10,000 records. Reports failing to run because they exceed this record limit are listed in the Warnings tab.
If an Administrator removed your access to records that you had subscribed to, said records will remain in your subscription list in the Online application, but will not be sent to the Offline application.
If the subscribed records in the Online application include some that you have just edited in the Offline application and pushed to the Online application, said records being pulled to the Offline application will of course include those edits.
If your application log in is made Inactive, or your Offline privileges are revoked, clicking [Full Refresh] launches an error message. You will be unable to connect to the Online application and send your changes, or retrieve subscribed records. Contact your organization's Application Administrator.
Retrieving subscribed data from the Online application will also automatically retrieve all business rules and behind-the-scenes data needed to make the Offline application work properly and consistently with the Online application. In other words, all business rules such as record access, Field Access, Sales Processes and Usage rights to said Processes, Layouts and Usage rights to said Layouts, Company-Defined Terms, and uploaded company logos, will automatically be pulled into the Offline application.
Changing your old Offline User Password to your new Online User Password: The way to change your old Offline User Password to your new Online User Password is to conduct a Full Refresh (by clicking [Full Refresh]) or click
