The Offline application is available only to Standard edition and Extended edition Users with Offline privileges.

 

To work in an offline environment, you must subscribe to (identify) the data in the Online application (through Account Management or Reporting) that you will need, launch the Offline application, and initiate a refresh, which pulls the subscribed data into the Offline application. From there you can interact offline with those subscribed records on a workstation just as in the Online application, except no Internet connection is needed. Then when you have access to an Internet connection again, you can refresh your online data with the changes that you made offline.

 

Subscribing to records is how you identify the data in the Online application that you will need in the Offline application. You can subscribe to any records to which you have View access. There is no limit to the number of records to which you can subscribe, and thus no limit to the number of records you can bring into the Offline application.

 

To subscribe to individual Accounts, Contacts, and/or Deals, navigate to the Account List window, Contact List window, or Deal List window in Account Management. To subscribe to Accounts, Contacts, and/or Deals in bulk, navigate to Reporting where you can generate an appropriate Report output. You can also use Just-in-Time Subscribing (JITSU) by identifying reports that you want to run automatically any time you refresh your Offline application. The records generated by these reports are automatically subscribed. This saves you time from having to manually subscribe to records. Subscribing to Account, Contact, or Deal records will also subscribe you to the following kinds of Appointments, Tasks, Multi-Notes, and Deal Steps:

After selecting all the records to which you want to subscribe or unsubscribe, click [Save]. This updates the list of records to which you are subscribed. Click for the Help section on doing a Full Refresh, which pulls the records to which you are subscribed into the Offline application.

To generate an appropriate Report output:

Subscribe to a Set of Records window - Allows you to subscribe to multiple Accounts, Contacts, and Deals simultaneously. The Subscribe to a Set of Records window contains some of the following elements depending on the kind of report used to initiate the subscription process:

Automatically Subscribing to Accounts, Contacts, and Deals (including Deal Steps) with Just-in-Time Subscribing (JITSU) in the Online application

Do you JITSU? Just-in-Time Subscribing (JITSU) is the flexible art of triggering (at every refresh) automatic subscriptions to records generated by predetermined Report definitions. Specifically, JITSU allows you to identify Account, Contact, and/or Deal Reports (Activity Reports and Report Snapshots are unavailable for JITSU) you want to be run automatically any time you conduct a refresh (by clicking [Full Refresh] or by clicking [Discard Changes & Refresh]). This allows you to automate the subscription process to records and saves you the time of having to manually subscribe to individual records. You can also set the application to always automatically unsubscribe all previously subscribed records before running JITSU reports. Selecting JITSU reports can save you time. For example, maybe your organization is using an External Data Capture Form that is assigning you new Deals every week. If you wanted to subscribe to these new Deals, you could either take the time to search for them every week and then subscribe to them, or you could completely automate this by setting up a JITSU Report definition that finds them and subscribes to them for you automatically at each refresh. Note that if you lack Subtotal Reporting privileges, you cannot use Just-in-Time Subscribing (although existing JITSU subscriptions will still trigger upon a Full Refresh in Offline).

 

To manage your JITSU settings, navigate to the Manage Just-in-Time Subscribing (JITSU) window:

Manage Just-in-Time Subscribing (JITSU) window - Select which reports you want the application to run automatically any time you conduct a refresh (by clicking [Full Refresh] or by clicking [Discard Changes & Refresh]). Any Report definition you select that returns more than 10,000 records will not run upon a refresh. Only select Report definitions that return less than 10,000 records. The Manage Just-in-Time Subscribing (JITSU) window contains the following elements:

To navigate to the Manage Linked Activities window:

 

Manage Linked Activities window - Allows you to subscribe to past Activities (Appointments, Tasks, and Multi-Notes) that are linked to your subscribed Accounts, Contacts, and Deals. Linked future Activities are automatically subscribed. (If a linked future Activity is an Appointment in a recurring series, only the first future Appointment will automatically be subscribed.) Select the desired time frame from the drop-down menu. The selections are by months in increments of 1 to 12, plus "None" and "All". Make a selection and click [Save].

 

Past/Future Appointments defined: Appointments are considered in the past when the day of the Appointment has passed. Appointments are considered in the future when the day of the Appointment has not yet passed. In other words, all Appointments taking place on the current day are considered in the future until that day is completely over.

 

Past/Future Tasks defined: Open Tasks (Tasks in the To Do Task List) are considered past when the day of the due date has passed. Completed Tasks (Tasks in the Completed Task List) are considered past when both the due date and the completed date have passed. Open Tasks are considered in the future until the due date of the Task has passed. Completed Tasks are considered in the future if either the due date or the completed date is still in the future.

 

Past/Future Multi-Notes defined: Multi-Notes are considered past when the time entered for the Multi-Note (in the Add Multi-Note window or Edit Multi-Note window) has passed. Multi-Notes are considered in the future when the time entered for the Multi-Note has not yet passed.

 

To navigate to the Manage Appointments and Tasks window:

Manage Appointments and Tasks window - Allows you to identify Appointments and Tasks to which you want to subscribe based on a date range and ownership, regardless of whether said Appointments and Tasks are linked to your subscribed records or not. The Manage Appointments and Tasks window contains the following elements:

Select Position listbox: Displays your organization's entire Company Position Chart (CPC).

 

Select Team listbox: Displays all of your organization's Teams.

 

Select User listbox: Displays all of your organization's Users.

After selecting the date range and the PTU to whose Appointments and Tasks you want to subscribe, click [Save]. This adds the selected records to the list of records to which you subscribe, and redisplays the Offline Subscriptions window.

 

What happens if an Appointment or Task falls within the date range I set in the Manage Appointments and Tasks window, but is linked to a subscribed record and does not fall within the range set for linked past Appointments and Tasks in the Manage Linked Activities window? That Appointment or Task will still be subscribed to because it falls within at least one of the two date ranges. The opposite scenario produces the same results. In other words, if there is an Appointment or Task linked to a subscribed record falling within the date range you set in the Manage Linked Activities window, but does not fall within the date range set in the Manage Appointments and Tasks window, that Appointment or Task would still be subscribed to because it falls within at least one of the date ranges.

Managing Your Subscribed Data in the Offline Subscriptions window in the Online application

To access the Offline Subscriptions window:

Offline Subscriptions window - Allows you to view all Accounts, Contacts, and Deals to which you are currently subscribed. These are the records that will be pulled into the Offline application when you next do a Full Refresh (by clicking [Full Refresh]) or when you next click [Discard Changes & Refresh]. The Offline Subscriptions window also displays the criteria you established to determine which associated Appointments, Tasks, and Multi-Notes are pulled into the Offline application. From this window you can unsubscribe to records and choose a date range for subscribing to associated Appointments, Tasks, and Multi-Notes, but you cannot subscribe to new records from this window. To do that, you must navigate to the Account List, Contact List, or Deal List in Account Management, or generate an appropriate Report output. The Offline Subscriptions window contains the following elements:

Manage Account Subscriptions window - Allows you to view a list of the Accounts to which you are subscribed, and if desired, to unsubscribe some or all of those Accounts.

Multi-Letter Search Box

 

Highlight the column you want to search, type one or more letters, and click [Go!]. The search results are similar to those for the alphabet navigation bar, i.e., the data in the active column begins with the letter(s) you typed, and continues alphabetically, reordering the Accounts accordingly. If there are no subscribed Accounts with data in the selected column starting with the letter or letters you have chosen, all Accounts with data in the selected column beginning with letter strings immediately following the letter or letters you have chosen will appear. If you input the letter string "Wes" and none of your subscribed Accounts contain data in the selected column starting with letter strings higher than "Wer", the Manage Account Subscriptions window instead displays all subscribed Accounts.

 

Multi-Letter search example: If the Account Name is "The Comedy Connection", the application considers that name as starting with the letter "T", so you could enter "The Comedy", which displays the Accounts beginning with T, and not "Comedy", which displays the Accounts that begin with C.

Manage Contact Subscriptions window - Allows you to view a list of the Contacts to which you are subscribed, and if desired, to unsubscribe some or all of those Contacts.

Unsubscribing Accounts, Contacts, and Deals (including Deal Steps) in the Online application

Unsubscribing Accounts, Contacts, and/or Deals removes the unsubscribed records from your subscription list and said records will no longer be pulled into the Offline application during a Full Refresh (by clicking [Full Refresh]) or any time you click [Discard Changes & Refresh]. Unsubscribing Accounts, Contacts, and/or Deals will automatically also unsubscribe all past and future Multi-Notes linked to said Accounts, Contacts, or Deals and any linked Appointments and Tasks provided said Appointments and Tasks are not also subscribed due to the date range set in the Manage Appointments and Tasks window. There are several different ways to unsubscribe an Account, Contact, and/or Deal:

 

Unsubscribing individual Accounts, Contacts, or Deals in Account Management:

Unsubscribing individual Accounts, Contacts, or Deals in the Offline Subscriptions window:

Unsubscribing multiple Accounts, Contacts, or Deals in a Report output:

Unsubscribing multiple Accounts, Contacts, or Deals in the Offline Subscriptions window:

Unsubscribing all Accounts, Contacts, and/or Deals in the Offline Subscriptions window:

Unsubscribing all Accounts, Contacts, and Deals through Just-in-Time Subscribing (JITSU):

 

If you are using Just-in-Time Subscribing (JITSU), you have the option of cleaning the slate just before JITSU Report definitions are run with each Full Refresh (by clicking [Full Refresh]) or just before JITSU Report definitions are run each time you click [Discard Changes & Refresh]. To do this, select the "Unsubscribe all" check box in the Manage Just-in-Time Subscribing (JITSU) window. Selecting this check box will unsubscribe all records before running any JITSU reports that generate a new set of subscribed records. In other words, to clean the slate first of all subscribed records before running your JITSU reports, select this check box.

 

Unsubscribe a Set of Records window - Accessible from both a Report output and the Manage Account [or Contact or Deal] Subscription window, the Unsubscribe a Set of Records window allows you to unsubscribe multiple Accounts, Contacts, or Deals simultaneously. Note that when you run a report to generate this list, you may not be subscribed to some or all of the records listed because you may not have selected them for subscription the first time you ran the report. Selecting a record for unsubscribing when you are not subscribed to that record has no effect, good or bad. The Unsubscribe a Set of Records window contains the following elements:

"Nothing" radio button: Select if you don't want to unsubscribe any associated records. In other words, if you are unsubscribing Contacts, selecting this radio button will not unsubscribe the associated Accounts of the selected Contacts. If you are unsubscribing Deals, selecting this radio button will not unsubscribe any associated Contacts or Accounts. (Only appears when unsubscribing Contacts and Deals.)

 

"Accounts of the selected Contacts" radio button: Select if you also want to automatically unsubscribe any associated Accounts for the Contacts that you selected. (Only appears when unsubscribing Contacts.)

 

"Primary Contacts of these selected Deals but not their associated Accounts" radio button: Select if you also want to unsubscribe the Primary Contacts (as selected in the Edit Deal pop-up) of the selected Deals but not the associated Accounts of said Primary Contacts. (This radio button only appears when unsubscribing Deals.)

 

"All Contacts of these selected Deals but not their associated Accounts" radio button: Select if you also want to unsubscribe all associated Contacts of the selected Deals but not the associated Accounts of said Contacts. (This radio button only appears when unsubscribing Deals.)

 

"Primary Contacts of these selected Deals and their associated Accounts" radio button: Select if you also want to unsubscribe the Primary Contacts of the selected Deals and the associated Accounts of said Primary Contacts. (This radio button only appears when unsubscribing Deals.)

 

"All Contacts of these selected Deals and their associated Accounts" radio button: Select if you also want to unsubscribe all associated Contacts of the selected Deals and the associated Accounts for said Contacts. (This radio button only appears when unsubscribing Deals.)

 

After selecting the records to which you want to unsubscribe, click [Unsubscribe]. This removes these records from the list of records to which you are subscribed.

Unsubscribing Appointments, Tasks, and Multi-Notes in the Online application

Unsubscribing Multi-Notes: To unsubscribe future-dated Multi-Notes linked to the Accounts, Contacts, and/or Deals to which you are currently subscribed, you must unsubscribe to said Accounts, Contacts, and/or Deals to which they are linked. To unsubscribe past Multi-Notes linked to the Accounts, Contacts, and Deals to which you are currently subscribed, navigate to the Manage Linked Activities window and select "None" from the drop-down menu, or you could unsubscribe to the Accounts, Contact, and/or Deals to which they are linked.

 

Unsubscribing linked Appointments and Tasks: To unsubscribe from future Appointments and Tasks linked to the Accounts, Contacts, and/or Deals to which you are currently subscribed, you must unsubscribe to said Accounts, Contacts, and/or Deals to which they are linked, and also make sure the Appointments and Tasks do not fall within the date range you set for Appointments and Tasks in the Manage Appointments and Tasks window. To unsubscribe past Appointments and Tasks linked to the Accounts, Contacts, and Deals to which you are currently subscribed, navigate to the Manage Linked Activities window and select "None" from the drop-down menu, and also make sure the Appointments and Tasks do not fall within the date range you set for Appointments and Tasks in the Manage Appointments and Tasks window.

 

Unsubscribing any Appointments and Tasks: To unsubscribe Appointments and Tasks based on a date range and ownership, regardless of whether said Appointments and Tasks are linked to your subscribed records, navigate to the Manage Appointments and Tasks window. Enter a date range in the Date Range text boxes that excludes the Appointments and Tasks. If however, the Appointments and Tasks are also linked to records to which you are subscribed, you also have to unsubscribe said records. There is no way to unsubscribe a future Appointment or Task that is linked to a subscribed Account, Contact, or Deal without also unsubscribing the Account, Contact, or Deal to which the Appointment or Task is linked.

Launching and Logging In to the Offline application

or

I can't log in to the Offline application -- what do I do? - If you try to log in to the Offline application but receive the following error message, "Invalid Login. Try again.", try the following steps:

 

1.) Enter your log in information again. Just in case you mistyped your User Password. Unlike the Online application, there is no limit to the number of log in attempts to the Offline application. That said, you can still lock down your Online log in by attempting to connect the Offline application with the Online application (for a refresh) with the incorrect log in information. Exceeding the log in attempts allowed by the Login Attempt Limit causes a lockdown. When this happens, you can still log in to the Offline application, but you cannot connect with the Online application a.) until an Application Administrator reactivates your log in, or b.) if you are the sole Application Administrator, until you contact technical support and receive a new User Password.

 

2.) Enter the log in information you last used to log in to the Offline application (as opposed to the log in information you use to log in to the Online application). Employ this option when you change your User Password in the Online application but you have not yet changed said password in the Offline application. In this case, log in to the Offline application with the Company Login, User Login, and User Password you last used to log in to the Offline application, as opposed to the new logins you now use in the Online application. Once logged in to the Offline application, enter your new log in information into the Login pop-up, which launches when you click [Full Refresh], [Send Changes], or [Discard Changes & Refresh] (in the Stats and Refresh window). If you click [Full Refresh], for example, enter your new log in information into the Login pop-up, but then cancel the Full Refresh, this will not change the User Password you need to successfully log in to the Offline application.

 

3.) Click the "I forgot my Offline User Password" hyperlink. This launches a confirmation pop-up. If you click [Yes] to continue, the Login window will relaunch. Enter your Online application Company Login, User Login, and User Password. If you are behind a corporate firewall that will not allow the Offline application to connect with the Online application, you must click the "Enter Proxy Information" hyperlink and enter your proxy settings. If you have any questions as to whether you must enter proxy settings, contact your organization's network administrator. If your network administrator is unavailable, we recommend that you first try leaving these fields blank because certain types of corporate firewalls will still allow the Offline application to connect with the Online application without selecting the Use Proxy setting check box. Try connecting without selecting this check box first. After entering your Online application log in information (and proxy settings if applicable), click [Go!]. The Offline application will connect with the Online application and verify that the log in information is indeed your Online application log in information. If it is, the Offline application launches and will reset your Offline application log in information. Obviously you cannot follow these steps if you are not connected to the Internet.

 

Note that the Restricted IP (RIP) security setting that can be established in Security Preferences by Extended edition Administrators is designed for the Online application and will not block a User's ability to launch the Offline application or refresh their data, even from a restricted IP address.

 

Offline Welcome Page - The Offline Welcome Page is the first page you see when logging in to the Offline application. It displays a summary of important items such as Deal Steps due, upcoming Appointments, and Tasks due. The Offline Welcome Page contains the following elements:

Proxy Settings window in the Offline application

Proxy Settings window - If you are behind a corporate firewall that will not allow the Offline application to connect with the Online application, you must enter your proxy settings in this window. If you have any questions as to whether you must enter proxy settings, contact your organization's network administrator. If your network administrator is unavailable, we recommend that you first try leaving these fields blank because certain types of corporate firewalls will still allow the Offline application to connect with the Online application without selecting the Use Proxy setting check box. Try connecting without selecting this check box first.

Stats and Refresh window in the Offline application

Stats and Refresh window - This window is the hub for data refresh: pulling subscribed records into the Offline application and/or sending changes that you made in the Offline application back to the Online application. The Stats and Refresh window also summarizes how many records you have in the Offline application and how many of those records have been changed and therefore would be sent back to the Online application at your next Full Refresh or Send Changes action. The Stats and Refresh window contains the following elements:

Full Refresh: Pulling Subscribed Data from the Online application into the Offline application, and Sending Data Changed in the Offline application back to the Online application

Clicking [Full Refresh] in the Stats and Refresh window initiates a Full Refresh by first sending changes you've made in the Offline application back to the Online application and then automatically finding the records in the Online application to which you've subscribed and pulling those records into the Offline application. Some changes you make in the Offline application may conflict with changes made in the Online application. While you will receive notice for some of these record conflicts, you will be unable to return to the Offline application and fix said records because all records in the Offline application are overwritten by the subscribed records being pulled into the Offline application during the second part of the Full Refresh, even if they are the same records. To prevent this, click [Send Changes] first to identify the problem records, fix them in the Offline application, and then do a Full Refresh.

 

To conduct a Full Refresh:

Login pop-up

 

Login pop-up - Enter the same Company Login, User Login, and User Password that you use to log in to the Online application (even if you used an old User Password to launch the Offline application) and click [Go!]. All authentication to the Online application is done under Secure Sockets Layer (SSL) encryption. Note that the Restricted IP (RIP) security setting that can be established in Security Preferences by Extended edition Application Administrators is designed for the Online application and will not block a User's ability to launch the Offline application or refresh their data, even from a restricted IP address.

 

If you are just sending changes (i.e., you clicked [Send Changes] to launch the Login pop-up), the Offline application will attempt to send any changes you have made back to the Online application. If at any point there are data conflicts due to edits made to the same record in both the Offline application and the Online application, the Conflict Resolution window will launch. Otherwise, once the Offline application is finished sending changes, the Update Results window will launch.

 

If you are conducting a Full Refresh (i.e., you clicked [Full Refresh] to launch the Login pop-up), the Offline application will first attempt to send any changes you have made back to the Online application. If at any point there are data conflicts due to edits made to the same record in both the Offline application and the Online application, the Conflict Resolution window will launch. If there are no conflicts, or once conflicts have been resolved, the Offline application will pull in all subscribed records from the Online application. If the application sent any changes, when it is done refreshing, the Update Results window will launch. If the application sent no changes, the Stats and Refresh window reloads.

 

If you are discarding changes and doing an Offline Refresh (i.e., you clicked [Discard Changes & Refresh] to launch the Login pop-up), the Offline application will discard the changes you made in the Offline application and then pull in all subscribed records from the Online application. After the refresh, the Stats and Refresh window will reappear.

 

Note You do not have to be logged in to the Online application via a separate browser window in order to send changes, conduct a Full Refresh, or discard changes and refresh. The passwords entered to the Login pop-up will inform the appropriate server how to find your Online application data.

 

If you click [Go] in the Login pop-up and receive the error message "Login failed. Try again.", one of the following scenarios may have happened:

Administrators getting locked out of the application: If the User who gets locked out is the Primary Contact and the sole Administrator for the organization, the application will not inactivate the Administrator's account. Instead, the application will generate a new User Password. Unlike with the Online application, the Offline application will not email you your new User Password. You must contact technical support to get your new User Password before next connecting with the Online application or logging in to the Online application with the new User Password. If the Primary Contact is locked out but there are other Administrators, the application will send the SLAM to the Administrator who has been a User the longest (not including the Primary Contact). If the User who gets locked out is one of several Administrators but is not the Primary Contact, the application will send a Solution Lockdown Alert Message to the Primary Contact just as it does when regular Users get locked out.
